Terms and Conditions of Participation
Applicable to Leadership Sabbatical TREKs and Journeys by Executive GlobeTREK
Effective Date: October 2026
IMPORTANT NOTICE: Please read these Terms and Conditions carefully before registering for an Executive GlobeTREK program. They establish the rights and responsibilities of Executive GlobeTREK and its participants, including important provisions regarding payments, cancellations, international travel risks, and liability.
By registering for a program and accepting these Terms and Conditions, you agree to be bound by the provisions outlined below.
SECTION I: REGISTRATION, PROGRAM PARTICIPATION, AND FINANCIAL TERMS
1. Agreement and Program Scope
These Terms and Conditions govern participation in all educational travel programs organized, coordinated, or operated by Executive GlobeTREK (“EGT,” “we,” “us,” or “our”).
EGT offers two primary categories of educational travel experiences:
Leadership Sabbatical TREKs: Immersive, place-based leadership development experiences designed for executives, professionals, and organizational leaders.
Journeys by Executive GlobeTREK: Scholar-led adult study abroad programs emphasizing cultural exploration, intellectual engagement, and lifelong learning.
Both program categories incorporate educational programming, cultural immersion, and facilitated learning experiences.
These Terms and Conditions, together with the applicable program description, registration confirmation, and program-specific booking information, constitute the agreement between EGT and the participant (“Participant,” “you,” or “your”).
EGT does not guarantee specific professional, educational, or personal outcomes from participation.
2. Registration and Booking Confirmation
Participants must be at least 18 years of age and complete all required registration materials.
A reservation is confirmed only when EGT has accepted the registration, received the required deposit or payment, and issued written confirmation.
Participants are responsible for providing accurate personal and travel information and promptly notifying EGT of relevant changes.
EGT reserves the right to decline registration for legitimate operational, program suitability, or safety reasons, consistent with applicable law.
3. Program Pricing and Inclusions
Each program's published price identifies the services included in the participation fee.
Depending on the program, these may include accommodations, scheduled ground transportation, educational programming, scholars and facilitators, local guides, cultural activities, entrance fees, and designated meals.
Unless expressly included in the program description, participants are responsible for:
· International and domestic airfare
· Passport, visa, and entry authorization expenses
· Travel and medical insurance
· Meals and beverages not included in the itinerary
· Optional excursions and independent activities
· Personal purchases, gratuities, and incidental expenses
· Additional accommodations or transportation arising from personal travel arrangements
EGT reserves the right to correct published pricing errors before booking confirmation.
Any changes to confirmed program pricing will be communicated in writing and handled in accordance with applicable law.
4. Deposits and Payment Requirements
A deposit is required to secure participation in an EGT program.
The deposit amount, payment schedule, and final payment deadline will be provided before registration is confirmed.
Participants are responsible for ensuring that all payments are received by the specified deadlines.
Failure to make required payments may result in cancellation of the reservation and application of the relevant cancellation provisions.
5. Participant Cancellations and Refunds
Participants may cancel their registration by submitting written notice to Executive GlobeTREK (EGT). The effective cancellation date is the date EGT receives the written notification.
Because EGT makes advance financial commitments to accommodations, scholars, facilitators, transportation providers, and other program partners, the following cancellation charges apply:
Cancellation Notice Received: 91 or more days before departure = Cancellation Charge: Forfeiture of the program deposit
Cancellation Notice Received: 90 days or fewer before departure = Cancellation Charge: 100% of the total program price
All deposits are nonrefundable. Beginning 90 days before the scheduled program departure, the entire program price becomes nonrefundable, regardless of whether the participant has paid the full balance.
Participants who fail to arrive, voluntarily withdraw, or depart early are not entitled to refunds for unused program services.
Cancellation requests must be submitted in writing to EGT. Any refunds due will be processed in accordance with the applicable booking agreement and governing law.
This policy applies specifically to cancellations initiated by participants. Cancellations initiated by EGT are governed separately under Section 6: Program Changes and Cancellations by EGT.
6. Program Changes and Cancellations by EGT
EGT reserves the right to make modifications to program arrangements when necessary for educational, operational, logistical, or safety reasons.
Modifications may include changes to accommodations, transportation, scheduled activities, site visits, scholars, leaders, facilitators, or local experts.
EGT will make reasonable efforts to provide comparable alternatives that preserve the program's educational integrity and overall quality.
If a material change occurs before departure, participants will be notified as promptly as practicable and informed of their available options and any applicable refund rights.
EGT may cancel a program because of insufficient enrollment, supplier unavailability, safety concerns, or circumstances preventing reasonable program delivery.
If EGT cancels a program before departure, participants will receive a refund of program fees paid directly to EGT or may voluntarily accept an alternative arrangement.
In the event EGT cancels a program prior to departure, EGT is not responsible for reimbursing participants for travel or other expenses incurred independently by the participant.
Participants are encouraged to avoid purchasing nonrefundable travel arrangements until EGT confirms that the program will proceed.
7. Participant Conduct and Program Expectations
EGT programs are designed to foster respectful dialogue, cultural understanding, and meaningful shared learning.
Participants agree to:
· Respect fellow participants, scholars, facilitators, and host communities.
· Follow reasonable instructions provided by EGT representatives.
· Comply with applicable laws and local regulations.
· Respect cultural traditions, customs, and community expectations.
· Arrive punctually for scheduled activities and transportation.
· Avoid conduct that threatens the safety, dignity, or well-being of others.
Harassment, discrimination, threatening behavior, violence, and repeated disruptive conduct will not be tolerated.
EGT reserves the right to remove a participant whose conduct presents a substantial safety concern, violates applicable law, or materially disrupts the program.
Participants removed for serious misconduct will be responsible for any additional expenses resulting from their removal and will forfeit unused program fees.
8. Independent Suppliers and Third-Party Services
EGT works with independent providers, including hotels, transportation companies, local guides, educational institutions, restaurants, and other service organizations.
These providers may operate under their own terms and conditions and applicable local laws.
EGT exercises reasonable care in selecting and coordinating program suppliers but does not directly control every aspect of their operations.
Responsibility for claims involving third-party services will be determined according to applicable law and the circumstances involved.
SECTION II: INTERNATIONAL TRAVEL, HEALTH, SAFETY, AND LIABILITY
9. Passports, Visas, and Travel Documentation
Participants are responsible for obtaining and maintaining all documentation required for international travel, including valid passports, visas, entry authorizations, and required health documentation.
Participants must verify the entry, transit, and exit requirements applicable to their nationality and itinerary.
EGT may provide general guidance but does not guarantee the accuracy or completeness of information issued by government authorities or third parties.
Failure to obtain required documentation may result in denied boarding, refused entry, or inability to participate, subject to the applicable cancellation policy.
10. Travel Insurance
All participants are required to maintain appropriate travel insurance for the duration of their program.
Coverage must include, at a minimum:
· Emergency medical treatment
· Emergency medical evacuation and repatriation
· Trip cancellation and interruption
Coverage for travel delays, missed connections, baggage, and personal belongings is strongly recommended.
Participants are responsible for selecting appropriate insurance, reviewing policy exclusions and coverage limits, and providing proof of coverage when requested.
EGT does not provide travel or medical insurance unless expressly stated in the program materials.
11. Health, Accessibility, and Medical Considerations
EGT programs may involve walking, uneven terrain, stairs, variable climates, extended periods of standing, and transportation or facilities that differ from those commonly available in the United States.
Participants are responsible for reviewing the physical requirements of their selected program and evaluating their preparedness to participate.
Participants are encouraged to consult their healthcare providers regarding travel-related medical considerations, recommended vaccinations, and necessary medications. Participants must review and comply with destination-specific health and travel requirements.
Participants should notify EGT of accommodation requests or health-related considerations that may materially affect participation or require advance arrangements at least 60 days prior to the program start date.
EGT will consider reasonable accommodation requests in accordance with applicable law and available destination resources.
Participants are responsible for carrying necessary medications, managing routine personal care, and arranging any individual assistance not included in the program.
Medical services and emergency response capabilities may be limited or delayed in certain destinations.
EGT does not provide medical advice or treatment.
12. Acknowledgment of International Travel Risks
International travel and experiential learning involve inherent risks that cannot be entirely eliminated.
Such risks may include:
· Physical injury, accidents, or illness
· Exposure to communicable diseases
· Transportation delays, disruptions, or accidents
· Political instability, demonstrations, or civil unrest
· Natural disasters or severe weather
· Theft, loss, or damage to personal property
· Limited or delayed access to medical services
· Differences in infrastructure, sanitation, accessibility, and safety practices
· Physical activities and unfamiliar environments
By participating in an EGT program, participants acknowledge these inherent risks and accept responsibility for exercising reasonable personal judgment and care.
EGT will take reasonable steps to evaluate foreseeable program-related risks, communicate relevant safety information, and coordinate appropriate responses when emergencies arise.
Participants agree to promptly report significant safety concerns and follow reasonable instructions from EGT representatives and local authorities.
Acknowledgment of travel risks does not waive legal rights or remedies that cannot lawfully be waived.
13. Emergency Response and Assistance
In the event of a medical or safety emergency, participants authorize EGT representatives, to the extent permitted by law, to contact emergency services and share reasonably necessary information with medical professionals, insurers, or designated emergency contacts when the participant is unable to do so.
EGT may assist in coordinating emergency services but cannot guarantee the availability, timing, or outcome of medical treatment.
Participants are responsible for applicable medical treatment, emergency transportation, evacuation, and related expenses except to the extent EGT or another party is legally responsible.
Participants must provide accurate emergency contact information before departure.
14. Circumstances Beyond EGT's Control
EGT may be unable to perform certain contractual obligations because of circumstances beyond its reasonable control.
Such circumstances may include natural disasters, severe weather, epidemics, war, terrorism, civil unrest, government restrictions, transportation shutdowns, or other extraordinary events.
When these circumstances materially affect a program, EGT may modify, postpone, relocate, or cancel affected activities or arrangements.
EGT will make reasonable efforts to communicate changes, protect participant safety, and identify appropriate alternatives.
Refunds, credits, and additional expenses arising from such circumstances will be determined in accordance with the applicable booking agreement and governing law.
15. Air Travel, Personal Property, and Independent Activities
Unless expressly included in the program price, participants are responsible for arranging transportation to and from the designated program starting and ending locations.
EGT is not responsible for disruptions involving independently arranged transportation except where liability is imposed by law.
Participants are responsible for safeguarding their personal belongings, identification documents, valuables, and travel funds.
Activities undertaken independently and outside the scheduled EGT program are the participant's responsibility.
Participants may be responsible for expenses arising from missed connections, voluntary itinerary changes, property damage they cause, or additional personal travel arrangements.
16. Privacy and Personal Information
EGT collects personal information reasonably necessary to administer registrations, coordinate travel arrangements, support participant needs, and respond to emergencies.
EGT will implement appropriate administrative, technical, and organizational safeguards to protect sensitive personal information.
Sensitive information will be transmitted and stored using appropriate security measures, including encryption where applicable.
Personal information may be shared with authorized service providers when reasonably necessary for program operations, emergency response, or legal compliance.
EGT will not sell participant personal information.
Additional information regarding collection, use, retention, and protection of personal data is provided in EGT's Privacy Policy.
17. Photography, Video, and Educational Materials
EGT may photograph or record program activities for documentation and educational purposes.
EGT will obtain appropriate consent before using an identifiable participant's image, voice, or likeness for promotional or marketing purposes.
Participants may communicate their preference not to appear in promotional materials.
Original educational materials, curricula, presentations, and program content developed by EGT or its partners remain the intellectual property of their respective owners and shall not be used for any purpose other than participation in the program.
Such materials may not be reproduced, distributed, or commercially used without appropriate authorization.
18. Liability and Limitations
EGT agrees to exercise reasonable care and skill in designing, coordinating, and delivering its programs.
EGT does not guarantee that travel will be free from disruption, that every scheduled activity will occur exactly as advertised, or that individual educational or personal outcomes will be achieved.
To the extent permitted by applicable law, EGT shall not be liable for losses arising solely from circumstances outside its reasonable control, participant conduct, or the independent actions of unrelated third parties.
Nothing in these Terms and Conditions excludes or restricts liability for gross negligence, willful misconduct, or other matters for which liability cannot lawfully be limited.
Participants retain all rights and remedies provided by applicable law.
19. Concerns, Complaints, and Dispute Resolution
Participants experiencing concerns during a program should notify the designated EGT representative or program facilitator as soon as reasonably possible.
Formal complaints following a program must be submitted in writing within 30 days of program completion.
EGT and the participant agree to make a good-faith effort to resolve disagreements through direct communication before pursuing formal legal proceedings.
These Terms and Conditions shall be governed by the laws of the State of Iowa.
20. Agreement and Acceptance
These Terms and Conditions, together with the applicable program description, registration confirmation, and program-specific booking information, constitute the agreement between EGT and the participant.
If a program-specific booking term conflicts with these general Terms and Conditions, the program-specific term will govern.
If any provision of this agreement is determined to be invalid or unenforceable, the remaining provisions shall continue in effect to the extent permitted by law.
